Replacing Artisan Main Computer

This Article applies only to Version 3.X

WE RECOMMEND YOU READ THIS AT LEAST ONCE BEFORE MAKING ANY CHANGES AND THEN FOLLOW ALONG AS YOU REPLACE THE COMPUTER.

There are various reasons for moving Artisan Data from the main computer, computer upgrade or replacement, failure, etc. 

STEP 1: Locate The Main Computer

First, we need to locate the main computer, by "main" we mean "Artisan main computer" where all the data is stored for all stations. Think of this main computer as the computer that hosts the Artisan Database and others stations access.

  • If you have only one station with Artisan then this is probably the Artisan Main Computer
  • If you have more than one station, they are all linked to Artisan Main Data on one of the computers. The Main Computer is the important one.
    • To locate the main data computer go to Artisan Main Menu => System Administration => 2) Change Data Directory 
    • From this screen the data path is available. From here you would see one of two data paths:

      1. If the data is local on this computer as in the picture below ("C:\ARTISAN\DATA"), this Should be the main computer, unless you have an alternate drive on the same computer then the drive letter could be different, for example "D:\Artisan\Data".
      2. If you are on a computer different than the Main Artisan Computer, the data location would show as "\\COMPUTER-NAME\ARTISAN\DATA". If this is the case, locate the "Computer-Name" computer on your network to find the main one.


NOTE: The data path may be different than the default if custom changes had been done to your system. If that is the case, just locate the main data and follow the next steps.



STEP 2: Make a Backup - Make a Backup -Make a Backup 

Before you change anything and move the data go to Artisan then Top Menu => Tools => Backup to backup your data and make note of where it is being saved so you could get it later. You will need this backup to restore the Artisan Data to the new computer. We suggest using Dropbox as you can access your files quickly and easily from any computer on the internet. Using Dropbox for Artisan Backups. If you do not use Dropbox there are other options for moving the backup below.

  • This backup can be stored on a flash drive or portable device and then transferred to the new computer
  • Keep a copy of this backup safe and then another copy on the new computer. 
  • Create this directory on the new computer C:\Artisan\Backup and place your recent "Backup" here.
    • The backup file will be generated in a .ZIP format. This is your backup file.

STEP 3: What Artisan Version and Station Number?

Now that we have made a backup of the data on the Artisan Main Computer, we need to do two more things on the current/old computer:

  • Open Artisan and from the Main Menu take note of the "Station Number" on the bottom left of Artisan. (See picture below)
    • You will need this to keep the current settings once transferred to the new computer. If you decide not to take the settings of the current computer Artisan will use the exact same "Data Set", the only difference is that the new computer would be considered by Artisan as an additional computer and not a replacement. 
  • Also take note of the Artisan Version you are currently on. You will need to install the same base-version as the current one. For Example:
    • If your current version is 3.1.30 or older, contact support@certek.com for assistance.
    • If you are on 3.1.31 or higher - Install 3.1.45
    • If you are on 3.2.X - Install 3.2.31
    • If you are on 3.3.X - Install 3.3.40
    • If you are on 3.4.X - Install 3.4.45
    • If you are on 3.5.X - Install 3.5.79 at the time of this writing or later.

STEP 4: Add Replacement

  • We are ready to start working on the new computer:

    1. Install Artisan as advised in the previous step.
    2. Install Crystal Reports Viewer as well. Available at the Download Area. http://downloads.certek.com/pos/
  • The First time you open Artisan on the new computer you will get a prompt similar to the one below.
    • Create new data to get started and follow the next steps.


  • Next you will get a message asking if you sure about creating a new data set. 
    • Remember that only one data set should be created, but since this is going to be the main computer, we choose "Yes" this time.


  • Select Trial Version for now, once the data is restored from the backup it will bring the licenses back as well.


  • Next you will be prompted with some settings for this station. Choose accordingly and save to continue.
    • Do not worry too much about these settings since Artisan will bring your old computer's settings back once restored.


  • After saving, if you are using FIFO accounting choose accordingly and then press ESC on your keyboard to get to the Artisan Menu. 
    • Do not close the program. Just press ESC (Escape) once.

  • Now go to Artisan Main Menu and the go to 6) System Administration => 4) Database Maintenance => 2) Restore Database from Backup
    • Choose the path of the backup you made of the main computer data. This can be any path where you placed the backup previously. It will only be used to find the backup.


  • Once you have selected the path where the backup is stored, click "Start"
    • Artisan will prompt you to select the date of the backup if you have more than one backups in the same folder.


  • Artisan will prompt you whether or not you are sure about replacing the current data (The Trial Version Data).
    •  Select "Yes"


  • Now Artisan will ask you more question about this station. This computer is a replacement. 
    • On this screen, choose option 2: "Make this Computer the Replacement for an Existing Station"


  • Next: Choose the station you are replacing. (You should have this station number from STEP 3)
    • CHOOSE THE STATION WITH CAUTION SINCE THIS WILL TAKE ALL THE SETTINGS FROM THAT SPECIFIC STATION.
    • IF NOT SURE ABOUT THE COMPUTER BEING REPLACED, PRESS "F4" TO VIEW DETAILS





STEP 5: Back to Sales

Once you have chosen the station to replace, Artisan will take you to the main menu and it should be ready to start running sales.

NOTE: Although Artisan copies all the settings from the old computer, devices like printers, pole displays, cash drawer, etc., may have been placed on different physical ports on the new computer, hence they will not work until set up again.

To get to Device Configuration go to Main Menu => 6) System Administration => 1) Configuration Settings => 4) Device Configuration  (this station)



STEP 6: Network Settings

Now that a new computer is acting as the Artisan Main Computer we need to make sure that other stations are able to access the data on the Artisan Main Computer. 

  1. Make sure other stations can see Artisan Main Computer on the network.
  2. Artisan folder at C:\Artisan on the main computer must be shared and accessible by the other stations.
  3. Go to each secondary station and check that you can access the Artisan folder on the main computer.


  1. Once you have access to this folder, tell Artisan where it is, to do this:
    • Go to Artisan Main Menu => 6) System Administration 2) Change Data Directory 2) Choose a Specific Location"\\COMPUTER-NAME\ARTISAN\DATA".


    • Save and Continue.

STEP 7: The End

By this step Artisan Main Computer has been replaced and the other stations should be networked to it. All should use the same "Data Set". Only one Data Set is required for Artisan to work and it should be on the Main Computer. Do not store the Main Data Set on all computers, only on the Main Computer, avoid confusion for all.

As always make sure you back up your data and set up any Windows Tasks that were set up on the old computer for Artisan.
